About the position

Bruin Geotechnical Services Inc. provides geotechnical services for clients, ranging from percolations for single-family residences to soils reports for commercial solar projects. We are currently seeking a highly organized and detail-oriented Executive Assistant/Project Manager to provide administrative support to our team. This role is ideal for an individual with a strong background in office management and project coordination. The ideal candidate will be responsible for organizing documents, communicating with clients, receiving, tracking, and finalizing reports per client request and working directly with the Director. Candidate MUST have proficiency in Adobe Acrobat, Microsoft Word, and Microsoft Excel as these are frequently used by our company. In this position, you will provide administrative support to staff and the Director, including preparing, organizing, and tracking documents and projects. You will manage and maintain confidential files, records, and documents, and develop and implement effective office management systems to ensure a productive and organized work environment. You will work directly with the Director to manage workload, prepare necessary documents, and provide project assistance as needed. Exceptional customer service is a key component of this role, as you will be greeting visitors, answering phones, and responding to emails. Additionally, you will perform general administrative tasks such as filing, photocopying, and data entry, while developing and maintaining a strong understanding of the company's policies and procedures. You will also manage and maintain a project tracker in Excel, ensuring all projects are updated and on track. This role requires the ability to prioritize tasks, work independently, and adapt to changing priorities in a fast-paced environment.

Responsibilities

  • Provide administrative support to staff and Director, including preparing, organizing, and tracking documents and projects.
  • Manage and maintain confidential files, records, and documents.
  • Develop and implement effective office management systems, ensuring a productive and organized work environment.

Requirements

  • Proven experience as an executive assistant or as a project manager.
  • Strong office management skills, including experience with office software and hardware.
  • Excellent computer literacy and experience with Microsoft Office (Word and Excel).
  • Strong communication and interpersonal skills.
  • Excellent phone etiquette and customer service skills.
  • Ability to prioritize tasks and work independently.
  • Experience with event planning and coordination.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong organizational and administrative skills.
  • Experience with filing and record-keeping.
  • Ability to work in a fast-paced environment and adapt to changing priorities.
