About the position

The Executive Assistant at Solventum plays a crucial role in providing high-level administrative support to two Senior Vice Presidents in Finance. This position requires exceptional organizational skills, discretion, and the ability to manage complex schedules and tasks in a fast-paced environment. The Executive Assistant will be responsible for calendar management, travel arrangements, meeting coordination, and handling confidential information, ensuring seamless operations within the executive team.

Responsibilities

  • Provide high-level executive administrative support to two Senior Vice Presidents in Finance.
  • Manage complex calendars, including scheduling meetings, events, appointments, and travel arrangements.
  • Coordinate all travel arrangements including flights, accommodations, transportation, and visas.
  • Administer travel and entertainment expense submissions, process purchase orders, and review monthly departmental expenses.
  • Prepare agendas and logistics for meetings, including room bookings, catering arrangements, and technical support.
  • Organize meeting notes and minutes, identify follow-up actions, and track progress on open items.
  • Plan and coordinate onsite and offsite team meetings.
  • Handle confidential financial information and maintain files/archives (electronic/physical).
  • Demonstrate professionalism, efficiency, and a proactive approach in a dynamic environment.

Requirements

  • Bachelor's Degree or higher from an accredited university AND five (5) years of Executive Assistant experience supporting a Vice President or above.
  • High School Diploma/GED from an accredited institution AND ten (10) years of Executive Assistant experience supporting a Vice President or above.
  • Proficiency in using Outlook and OneNote, PowerPoint, Concur, Excel, Workday, and other relevant tools.
  • Exceptional organizational skills and attention to detail with the ability to prioritize tasks and manage time effectively.
  • Strong problem-solving skills and the ability to work independently with minimal supervision.

Nice-to-haves

  • Prior experience as an Executive Assistant supporting a SVP, CFO, or CEO.
  • Ability to anticipate the needs of executives and proactively address issues or concerns.
  • Flexibility to adapt to changing priorities and deadlines.
