About the position

The Executive Assistant/REDC Event Planner will support the Regional Director of ESD/WNY by managing administrative tasks, event planning, and project development. This role involves coordinating with various stakeholders, overseeing administrative support staff, and ensuring efficient office operations while maintaining a professional environment.

Responsibilities

  • Assist the Regional Director in the administration of policies and event planning.
  • Manage and track project development duties alongside the Regional Director and Deputy Director.
  • Scout locations/sites, negotiate, and manage budgets for events and vendor relationships.
  • Communicate with important stakeholders in the Chamber.
  • Work on special projects with the Regional Director, Deputy Director, and others as assigned.
  • Manage daily activities of the Regional Director and Deputy Director, including travel, correspondence, and scheduling.
  • Provide oversight to administrative support staff in WNY when needed.
  • Coordinate with other departments to ensure proper handling of paperwork and timely payment of invoices.
  • Prepare, proofread, produce, and distribute reports, agendas, presentations, and other documents.
  • Answer telephones professionally, take accurate messages, and respond to inquiries.
  • Perform general administrative duties such as typing documents, scheduling meetings, and making travel arrangements.
  • Arrange staff meetings, take meeting minutes, and organize staff outings/events.
  • Provide administrative support for Regional Economic Development Council meetings and stakeholder engagement events.
  • Submit travel vouchers and documents for Regional Director, Deputy Director, and WNY staff.
  • Support office operations and manage supply inventory.
  • Handle time records for WNY Region staff and review for processing.
  • Update Project Tracking System and maintain hard copy central files.
  • Oversee the implementation of a computerized correspondence database.
  • Create and manage a contact database.

Requirements

  • High school diploma or GED required; business school or college preferred.
  • 6-8 years of administrative experience.
  • Solid knowledge of ESD/WNY Region.
  • Good communication skills and discretion.
  • Strong experience with Microsoft Office, PowerPoint, Excel, PDFs, Outlook, Zoom, Teams, and Webex.
  • Tech-savvy with the ability to adjust to new and old technologies.

Nice-to-haves

  • Experience in social media management, particularly with platforms like LinkedIn.
