About The Position

The Executive Assistant will provide high-level administrative support to one or more executives, handling confidential and sensitive tasks with considerable independent judgment. This remote position requires excellent organizational skills, the ability to manage multiple priorities, and effective communication to assist in the planning and implementation of departmental activities.

Requirements

  • High school diploma or G.E.D. required; Associate's degree in business or related field preferred.
  • Four years of relevant experience providing necessary skills, knowledge, and abilities.
  • Knowledge of organization, company, and departmental policies and procedures preferred.
  • Excellent oral and written communication skills.
  • Excellent working knowledge of computers and company standard software.
  • Ability to proofread documents for spelling, grammar, and punctuation.
  • Ability to perform necessary mathematical computations.
  • Ability to solve practical problems and deal with a variety of variables.
  • Ability to comprehend consequences of various situations for decision making.
  • Ability to follow complex instructions and apply guidelines in problem disposition.
  • Ability to exchange information clearly and concisely.
  • Ability to use diplomacy, discretion, and appropriate judgment when addressing callers.
  • Ability to establish workflows, manage multiple projects, and meet deadlines.

Nice To Haves

  • Certification or progress toward certification in a relevant field is highly preferred and encouraged.

Responsibilities

  • Coordinates office activities for the executive(s).
  • Prioritizes and follows up on information and requests to and from executive(s).
  • Updates executive(s) on current issues as necessary.
  • Assists in the planning, development, and implementation of goals.
  • Researches, compiles, assimilates, and prepares documents.
  • Briefs executive(s) regarding content of documents.
  • Reads and screens incoming correspondence and reports; handles or forwards to appropriate person.
  • Receives and screens incoming calls and visitors; determines priority matters.
  • Composes, types, and edits correspondence in response to incoming mail and calls.
  • Prepares agenda and collects and distributes materials for meetings and conferences.
  • Transcribes minutes and keeps records of proceedings as required.
  • Coordinates and facilitates the executive's calendar(s) for appointments and meetings.
  • Recommends actions on budget expenditures and equipment needs.
  • Makes domestic and foreign travel arrangements for executive(s).
  • Prepares and compiles travel vouchers and maintains travel records.
  • Develops, compiles, and maintains filing systems and informational databases.
  • Maintains confidentiality of information processed as appropriate.
  • May participate in interviewing, selection, and training.
