About the position

The Executive Assistant at Xavier Creative House (XCH) plays a crucial role in supporting the CEO, Sunny, by ensuring seamless day-to-day operations in a fast-paced healthcare marketing environment. This remote position requires a detail-oriented and proactive individual who can manage priorities, anticipate needs, and provide high-level support to the executive team. The role emphasizes collaboration, organization, and the ability to thrive in a dynamic setting, contributing to the company's mission of driving impactful solutions in healthcare.

Responsibilities

  • Oversee Sunny's daily, weekly, and quarterly commitments.
  • Follow communication best practices and processes in all interactions with the team and other departments.
  • Ensure Sunny is prepared and organized for all responsibilities, including working closely with her Personal Assistant.
  • Align daily tasks and projects with EOS principles, understanding the big picture and how departmental needs intersect.
  • Capture, prioritize, and develop actionable plans for Sunny's ideas, ensuring they align with operational standards.
  • Take charge of Sunny's schedule, prioritizing emails and taking action on her behalf where appropriate.
  • Coordinate travel logistics, including booking flights, hotels, and car services, while managing expense tracking and AMEX receipts.
  • Own the full scope of planning and logistics for in-person events, including the annual company retreat, client meetings, marketing events, conferences, and awards.

Requirements

  • 3-5+ years of Executive Assistant experience in a fast-growing, scaling business.
  • Experience working directly with entrepreneurs, visionaries, and/or CEOs.
  • Small to mid-sized business experience.
  • Proven experience in process creation and implementation, showcasing strong organizational and detail-oriented skills.
  • College degree, preferably with coursework relevant to business, marketing, or healthcare.
  • Familiarity or experience in marketing and healthcare sectors.

  • Background in marketing.
  • Business degree.
  • Certifications in project management or similar fields.
  • Client services experience.
  • Interest in mission-driven organizations, volunteering, or philanthropy, indicating involvement in community-focused initiatives.
