About the position

The Executive Assistant for Research & Development at Servier Pharmaceuticals provides high-level administrative support to the Vice President of Clinical Development and other R&D leadership members. This role is crucial for ensuring efficient communication, calendar management, and logistical coordination for meetings and events. The ideal candidate will possess exceptional organizational skills and the ability to thrive in a fast-paced environment, proactively anticipating the needs of executives and providing effective solutions.

Responsibilities

  • Prepare and proof correspondence including emails, letters, memos, slides, documents, and reports.
  • Maintain up-to-date paper and electronic files while ensuring confidentiality and handling sensitive information.
  • Provide complex and proactive calendar management for assigned leaders, ensuring accuracy and maintenance.
  • Arrange domestic and international travel for leaders and department leadership as requested.
  • Coordinate logistics for complex internal meetings and manage all associated logistics.
  • Assist in preparing, organizing, and sending pre-read materials for meetings, including agendas, reports, and presentations.
  • Complete Purchase Orders and review Statement of Work/Master Service Agreement documents as needed.
  • Prepare expense reports, process invoices, and manage check requests in a timely manner.
  • Support project management work for departments as needed.
  • Provide back-up coverage for the Executive Assistant team during absences or increased workload.

Requirements

  • Bachelor's degree or equivalent experience.
  • 3-5 years of experience in administrative support, particularly for global leaders.
  • Experience in the pharmaceutical or biotechnology industry is preferred.
  • Strong skills in calendaring, travel management, project management, and strategic meeting management.
  • Proficient in Microsoft Office software (Word, Excel, PowerPoint, Teams, SharePoint) and willing to learn new technologies.
  • Excellent interpersonal skills and ability to maintain strong relationships with stakeholders.
  • Ability to work in a deadline-driven environment and manage multiple priorities with professionalism.
