About the position

The Executive Assistant for Sales and HR at JCB North America plays a crucial role in supporting the Executives assigned, including the Executive Vice President of Dealer Sales, the Executive Vice President of Direct Sales, and the Vice President of Human Resources. This position requires a highly organized individual who can manage a wide variety of activities and confidential matters with discretion. The successful candidate will be expected to work independently on projects from conception to completion, demonstrating the ability to handle pressure and prioritize multiple tasks effectively. Strong written and verbal communication skills are essential, as the role involves composing and preparing correspondence, some of which may be confidential. Additionally, the Executive Assistant will be responsible for managing complex travel arrangements, including itineraries and agendas, and compiling documents for travel-related meetings. The ideal candidate will possess a proactive approach to their work, ensuring that the Vice President(s) are well-informed of upcoming commitments and responsibilities. This includes prioritizing conflicting needs and following through on projects to successful completion, often under tight deadlines. The role demands a high level of ethics, integrity, and reliability, along with a strong internal customer service attitude. The Executive Assistant will also be expected to demonstrate forward-thinking and problem-solving abilities, proposing solutions as necessary. Advanced skills in Microsoft PowerPoint are required, as the position involves creating presentations and other materials for meetings and reports.

Responsibilities

  • Manage the calendar of appointments for the Executives assigned.
  • Complete expense reports and prepare correspondence, including confidential documents.
  • Arrange complex travel plans, itineraries, and agendas for the Executives.
  • Compile documents for travel-related meetings and ensure all necessary materials are prepared in advance.
  • Plan and coordinate the schedule of the Vice President(s) to ensure commitments are met.
  • Keep the Executives informed of upcoming commitments and responsibilities, following up appropriately.
  • Prioritize conflicting needs and handle matters expeditiously, proactively following through on projects.

Requirements

  • 3-5 years of administrative experience working with Executives in a fast-paced environment.
  • High school diploma or GED.
  • Must pass applicable drug screens, background checks, and pre-employment tests.

Nice-to-haves

  • Bachelor's degree in business or a related field.
