About the position

The Executive Assistant reports to the Chief Administrative Officer of the San Diego Supercomputer Center (SDSC) and provides high-level, confidential, executive assistance to SDSC's Director as well as members of the Director's Office and Executive Team. This role involves managing complex problems of a sensitive nature, requiring a high level of tact, diplomacy, and discretion. The Executive Assistant will independently manage the complexity of the Director's calendar, schedule individual, group, and standing meetings, and provide coordinated and collaborative support to the Director's Office. In addition to calendar management, the Executive Assistant will coordinate and direct support for the Director's extensive schedule of speaking engagements, travel, and various events. Responsibilities include making travel arrangements, preparing original correspondence and presentations, and advising the Director and Executive Team on project statuses. The incumbent will also research, analyze, and synthesize information to prepare executive briefings, reports, and summaries. As the primary contact for requests to/from the Director, the Executive Assistant will handle inquiries from the public on sensitive issues and serve as the liaison between the Director's Office and various stakeholders, including government agencies and academic institutions. The role also involves organizing and managing special projects, planning high-level meetings and events, and developing systems for managing information and projects. The Executive Assistant will track deadlines, anticipate problems, and ensure timely follow-through on action items.

Responsibilities

  • Manage the Director's calendar and schedule meetings.
  • Coordinate travel arrangements and reconcile expenses for the Director.
  • Prepare original correspondence and presentations on behalf of the Director.
  • Research and analyze information to prepare executive briefings and reports.
  • Serve as the primary contact for requests to/from the Director.
  • Handle inquiries from the public on sensitive issues.
  • Organize and manage special projects as assigned by the Director.
  • Plan and implement high-level meetings and events in support of the Director's initiatives.
  • Maintain excellent working relationships with Executive Assistants throughout UCSD.
  • Track deadlines and ensure timely follow-through on action items.

Requirements

  • Demonstrated executive-level administrative experience.
  • Strong communication skills, both verbal and written, with all levels of staff and external constituencies.
  • Experience with complex calendaring and travel reconciliation.
  • Strong composition, editing, and proofreading skills.
  • Ability to exercise independent judgment, leadership, and diplomacy in a high-pressure environment.
  • Thorough knowledge of common organization-specific and other computer application programs.

Nice-to-haves

  • Experience with machine learning and AI-related projects.
  • Familiarity with UNIX systems.
  • Proficiency in Microsoft and Google office suites, Teams, Slack, and Zoom.
