About the position

The Executive Assistant position at Mastercard is a pivotal role that supports the Head of Services for the Latin America and Caribbean (LAC) region, along with three other executives in the Services team, which includes Loyalty and C&I. This role is essential for ensuring smooth operations within a fast-paced professional office environment. The Executive Assistant will be responsible for a variety of administrative tasks that are crucial for the day-to-day functioning of the team. This includes scheduling complex executive meetings, managing travel arrangements, and handling expense reporting. The position requires a high level of interaction with both internal and external executives and their assistants, necessitating excellent communication skills and the ability to maintain confidentiality and professionalism at all times. In addition to standard administrative duties, the Executive Assistant will also take on office management responsibilities, such as ordering supplies, onboarding new hires, and providing general support for employee inquiries. The role demands a proactive approach, as the assistant will need to self-direct and work effectively with team members, senior leaders, and clients across a global organization. The ability to manage multiple tasks simultaneously while maintaining attention to detail is critical. The Executive Assistant will also prepare various documents, including correspondence, reports, and presentations, using specified software packages. Furthermore, the role involves administering departmental budgets and maintaining spreadsheets or databases to monitor departmental information, which requires strong organizational skills and proficiency in data management. Responsibilities

  • Schedule complex executive meetings and coordinate logistics for these meetings.
  • Manage travel arrangements, including international travel, for executives.
  • Handle expense reporting and maintain management team calendars.
  • Take and distribute meeting minutes and prepare various documents such as reports and presentations.
  • Order office supplies and assist with new hire onboarding processes.
  • Serve as an administrative liaison with internal and external stakeholders.
  • Administer departmental budgets and maintain spreadsheets or databases for monitoring information.

Requirements

  • Proven experience as an executive assistant or in a similar administrative role.
  • Strong organizational skills and the ability to manage multiple tasks simultaneously.
  • Excellent communication skills, both written and verbal.
  • Proficiency in office software and tools for document preparation and data management.
  • Ability to maintain confidentiality and exercise good judgment in handling sensitive information.
