About the position

We are a high-end, non-insurance-based aesthetic dermatology practice located in Coral Gables, FL, seeking a versatile and motivated Executive Assistant/Social Media Manager. Our office is a low-stress corporate environment, providing a great mentoring opportunity for someone eager to learn and grow in the fields of aesthetic medicine and social media management. This role involves directly supporting our owner, a prominent aesthetic medical doctor with multiple business ventures. As an Executive Assistant, responsibilities involve a solid working knowledge of office-related software, including but not limited to Microsoft Word, Excel, and PowerPoint, as well as great customer service skills to assist with upscale clients. Additionally, the role entails managing essential daily administrative tasks, including appointment scheduling, patient check-ins and check-outs, end-of-day sales calculations, light bookkeeping/data entry, and providing assistance with the coordination and oversight of the doctor's diverse business interests. As a Social Media Manager, the duties include creating engaging content on a weekly basis, leveraging software like Canva and CapCut, and tracking performance analytics on a monthly basis. Your expertise in office and marketing-related software, coupled with exceptional customer service skills, will be critical in maintaining the high standards expected by our premier clientele. The ideal candidate is highly organized, tech-savvy, and capable of multi-tasking in our intermittently fast-paced office environment, particularly during the three afternoons a week when we see patients. **This is NOT a remote position. We require in-person attendance for this job.**

Responsibilities

  • Greet visitors, answer phone calls, and schedule patient appointments
  • Prepare patient charts and confirm upcoming patient appointments
  • Communicate patient interactions to medical staff and write chart notes
  • Provide direct administrative support to the physician-owner, including calendar management and email correspondence
  • Conduct end-of-day sales calculations after each patient day
  • Handle light bookkeeping and data entry tasks
  • Perform monthly inventory counts of office supplies and place orders when stock is low
  • Create social media posts using Canva and CapCut
  • Generate and monitor monthly analytics for social media performance
  • Manage and optimize paid promotions for videos and posts on major platforms
  • Occasionally take photos of patients during their visits and organize these images in the company Dropbox
  • Obtain one patient Google review per week on a patient day
  • Design and execute email campaigns using the email marketing software, Emma

Requirements

  • Positive attitude and a real desire to succeed
  • Excellent customer service and phone etiquette skills
  • Excellent English reading and writing skills
  • Conversational Spanish a bonus, but not required
  • Proficient in Microsoft Word, Excel, and PowerPoint
  • Proficient in using Canva and CapCut for graphic design and video production
  • Proficient in using Emma for email campaign creation and management
