About the position

The Executive Administrative Support role at GE Gas Power involves providing comprehensive administrative assistance to the Sourcing Leader and Materials Leader, as well as supporting the Sourcing and Materials staff and Senior Leadership team. The position requires independent execution of responsibilities while managing the needs of multiple stakeholders, ensuring efficient scheduling, travel arrangements, and communication. The role also includes event planning and logistical coordination for meetings and conferences, alongside general administrative tasks.

Responsibilities

  • Proactively support the assigned leader and team by independently executing all responsibilities while successfully balancing the needs of multiple Sourcing and Materials staff/ Senior Leadership team members.
  • Prioritize, maintain, and organize extensive and complex calendars, schedule appointments and meetings, and arrange travel schedules.
  • Manage Annual Engagement Matrix including various meetings and mentor relationships.
  • Proactively identify calendar conflicts and suggest adjustments for efficiency.
  • Maintain distribution lists and craft communications for organizational announcements.
  • Schedule and organize logistical details for in-house and off-site meetings.
  • Plan and organize monthly supplier conferences and regional conferences with suppliers.
  • Manage general administrative services including documentation management and invoice processing.
  • Anticipate and solve issues/conflicts independently and discreetly.
  • Manage Workday transactions in coordination with HR partner.
  • Communicate professionally with internal and external persons, acting as the first point of contact.
  • Handle confidential data and matters discreetly and professionally.
  • Create and manage purchase orders and outgoing shipments as needed.
  • Maintain a gratitude plan for team members' significant life events.
  • Work collaboratively with other assistants and teams on special projects.

Requirements

  • Bachelor's degree or High School diploma with five years of work experience.
  • Minimum three years' experience in event planning, administrative support, or complex project management.
