About the position

Exciting NEW and Immediate opportunity for an Experienced Executive Assistant. The ideal candidate will have previous experience supporting a Sr EVP/COO and/or other C-Level Executives. In this role, you will report directly to the Sr EVP/COO/CFO providing executive support in a one-on-one working relationship. You will serve as the primary point of contact for internal and external constituencies on all matters of the Sr EVP/COO/CFO. The Executive Assistant also serves as a liaison to the board of directors and senior management teams. Your responsibilities will include organizing and coordinating executive outreach and external relations efforts, overseeing special projects from conception to completion, and completing a broad variety of administrative tasks for the Sr EVP/COO. This includes managing an extremely active calendar of appointments, completing expense reports, composing and preparing correspondence that is sometimes confidential, arranging complex and detailed travel plans, itineraries, and agendas, and compiling documents for travel-related meetings. The position requires strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. You will need to demonstrate interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and donors. Expert-level written and verbal communication skills are essential, along with a proactive approach to problem-solving and decision-making capability. You must also be able to handle confidential information with discretion and adapt to various competing demands while demonstrating the highest level of customer/client service and response. Responsibilities

  • Completes a broad variety of administrative tasks for the CFO including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Plans, coordinates, and ensures the CFO's schedule is followed and respected. Provides 'gatekeeper' and 'gateway' roles, creating win-win situations for direct access to the CFO's time and office.
  • Communicates directly, and on behalf of the CFO, with Board members, donors, Foundation staff, and others, on matters related to CFO's programmatic initiatives.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President, including those sensitive or confidential. Determines appropriate course of action, referral, or response.
  • Provides leadership to build relationships crucial to the organization's success, and manages a variety of special projects for the CFO, some of which may have organizational impact.
  • Completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgment letters, personal correspondence, and other tasks that facilitate the CFO's ability to lead the company effectively.

Requirements

  • Previous experience supporting C-Level Executives
  • Bachelor's degree in Business or other related industries
