About the position

As an Executive Assistant supporting the Senior Vice President of Airport Operations at American Airlines, you will play a crucial role in ensuring the smooth operation of executive functions. This position requires a high level of professionalism and the ability to manage multiple tasks in a fast-paced environment. You will be responsible for providing key administrative, clerical, and organizational support to the executive management team. Your role will involve protecting the integrity of confidential information and adapting to shifting priorities while maintaining efficiency and professionalism. You will manage an active calendar of appointments, ensuring that the executive's schedule is respected and that they are well-informed of upcoming commitments. This includes arranging complex domestic and international travel plans, coordinating meetings, and preparing necessary documents for travel-related engagements. Your interactions will span all levels of management, corporate clients, and business community leaders, requiring excellent communication skills and the ability to respond to customer requests and complaints effectively. In addition to managing time and attendance, expense reports, and invoices, you will also be responsible for composing correspondence, preparing presentations, and handling incoming inquiries. This role demands a self-motivated individual with strong organizational skills, the ability to prioritize tasks, and a commitment to meeting deadlines. You will need to demonstrate leadership and diplomacy to maintain credibility and trust with senior management, all while fulfilling FAA criminal background checks and securing necessary airport authority badges as required.

Responsibilities

  • Provide key administrative, clerical, and organizational support to the SVP, Airport Operations.
  • Protect the integrity of confidential information for all matters.
  • Manage an active calendar of appointments for the executive.
  • Arrange complex domestic and international travel plans, itineraries, and agendas.
  • Collect documents for travel-related meetings and coordinate on/off-site meetings.
  • Interact with all levels of management, corporate clients, and business community leaders.
  • Respond to customer requests and complaints within limits of authority.
  • Compose correspondence, prepare presentations, reports, and other ad hoc materials.
  • Handle incoming telephone calls and inquiries, routing calls appropriately.
  • Manage time and attendance, expense reports, invoices, and ordering of supplies.

Requirements

  • Bachelor's degree in relevant field or equivalent experience/training.
  • 7+ years of experience in a prior executive assistant role supporting a C-Suite officer.
  • Knowledge of Microsoft Office Suite including Word, Excel, Outlook, etc.
  • Ability to maintain confidentiality and professionalism.
  • Knowledge of policies, procedures, and corporate structure.
  • Self-motivated with strong organizational skills and ability to prioritize work.
  • Excellent analytical and problem-solving skills.
  • Ability to perform in a fast-paced environment and handle multiple tasks simultaneously.
  • Ability to collaborate with other Executive Assistants and team members.
  • Expert-level writing, editing, grammatical, and research skills.
