We are seeking a highly organized and proactive Executive Assistant to support our Tax Department. The ideal candidate will be a detail-oriented professional with excellent communication skills and the ability to manage multiple tasks efficiently. This role is crucial in ensuring the smooth operation of the department and providing top-notch administrative support to our tax professionals.

Responsibilities

  • Provide comprehensive administrative support to the Tax Department, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare, edit, and maintain tax-related documents, reports, and presentations.
  • Ensure all documents are filed and organized appropriately.
  • Serve as a point of contact for clients, handling inquiries and directing them to the appropriate tax professionals.
  • Maintain a high level of professionalism in all client interactions.
  • Assist in the coordination and execution of tax projects, ensuring deadlines are met and deliverables are completed accurately.
  • Prepare agendas, take meeting minutes, and follow up on action items.
  • Ensure all necessary materials are available for meetings.
  • Input and analyze data related to tax filings and client accounts.
  • Generate reports as needed.
  • Handle sensitive information with the utmost confidentiality and discretion.
  • Oversee office supplies and equipment for the Tax Department.
  • Ensure the office environment is organized and efficient.

Requirements

  • 3+ years of experience as an Executive Assistant, preferably in an office environment.
  • High school diploma, GED, or equivalent (Required).
  • Bachelor's degree in business administration, accounting, or a related field (Preferred).
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team.
  • Attention to detail and accuracy.
  • Familiarity with tax terminology and processes is a plus.
