About the position

The Executive Assistant to Board & President/CEO is responsible for providing advanced executive level administrative support to the Board of Directors and the President/CEO. This role is crucial in maintaining and managing the day-to-day operations of the Office of the President/CEO while ensuring that the Board of Directors receives the necessary support to function effectively. The Executive Assistant will ensure standardization, coordination, and supervisory oversight of executive administrative support across the regional System. In this position, the Executive Assistant will utilize independent discretion and judgment to assist Boards, particularly Board Chairs, and the President/CEO in organizing daily activities, reports, and agendas. This includes identifying and prioritizing projects and work assignments, proactively coordinating scheduled meetings and events based on knowledge of current operational initiatives and priorities, and determining how to appropriately resolve unanticipated events and issues that arise. The Executive Assistant will serve as a central organizational point for communications, projects, and programs, positively representing the Board of Directors and President/CEO in all communications with internal and external stakeholders.

Responsibilities

  • Maintain and manage the day-to-day operations of the Office of the President/CEO.
  • Support the Board of Directors in their activities and initiatives.
  • Utilize independent discretion to assist Boards and the President/CEO in organizing daily activities, reports, and agendas.
  • Identify and prioritize projects and work assignments for the President/CEO and Board.
  • Proactively coordinate scheduled meetings and events based on current operational initiatives and priorities.
  • Resolve unanticipated events and issues that arise in the office.
  • Serve as a central organizational point for communications, projects, and programs.
  • Represent the Board of Directors and President/CEO positively in all communications.

Requirements

  • Associate's degree is required; Bachelor's degree preferred.
  • Minimum of seven years of relevant experience in a senior administrative support position or management of an executive suite.
  • Previous hospital or health system experience supporting executives and/or Boards preferred.
  • Excellent written, verbal, and analytical skills with attention to detail.
  • Mastered proficiency with Microsoft Office applications (Excel, Outlook, PowerPoint, Word).
  • Proficient in developing and editing PowerPoint presentations.
  • Suitable writing skills to draft memos and other communications.
  • Excellent organizational and time management skills.
  • Ability to work long hours or non-standard hours to meet deadlines.
  • Excellent customer service skills with a high level of emotional intelligence.

Nice-to-haves

  • Experience in a healthcare setting is a plus.
  • Familiarity with Board governance and operations.
