About the position

The Executive Assistant to the Business Manager plays a crucial role in supporting the operations of an Entertainment Business Manager. This in-person position requires a detail-oriented individual with prior experience as an Executive Assistant, particularly in the entertainment sector. The role encompasses a variety of administrative tasks, including managing schedules, handling client paperwork, and performing general bookkeeping duties, making it ideal for someone interested in the accounting side of the entertainment industry.

Responsibilities

  • Manage phones and calendar for the Business Manager.
  • Scan documents and maintain organized filing systems.
  • Book and schedule travel, preparing detailed itineraries.
  • Assist with client paperwork, including filling out forms and reconciliations.
  • Perform general bookkeeping and prepare financial statements.
  • Conduct research and make calls on behalf of clients.
  • Handle personal assistant duties such as gift buying, making reservations, and running errands.
  • Complete other duties and special projects as assigned.

Requirements

  • Bachelor's degree preferred.
  • Previous experience as an Executive Assistant required.
  • Background in Entertainment Business Management, Banking, Real Estate Escrow, or Insurance is a plus.
  • Proficiency in MS Office: Word, Excel, Outlook, and QuickBooks.
  • Tech-savvy with the ability to learn new software and systems easily.
  • Detail-oriented and accurate in work.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality.
  • Polished, professional demeanor, and resourceful.
  • Stable work history with excellent references.
