About the position

Bethel Wellness Community-Bethel Manor is a distinguished not-for-profit nursing facility organization dedicated to providing compassionate care and enhancing the quality of life for our residents. We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our CEO/Administrator in driving our mission forward. The Executive Assistant will play a critical role in supporting the CEO/Administrator by managing day-to-day administrative tasks, facilitating communication, and ensuring the smooth operation of the executive office. This position requires exceptional organizational skills, discretion, and the ability to handle multiple priorities in a fast-paced environment.

Responsibilities

  • Provide comprehensive administrative support to the CEO/Administrator, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Serve as the primary point of contact for internal and external communications on behalf of the CEO/Administrator.
  • Draft, edit, and proofread correspondence, reports, and presentations.
  • Organize and prepare for meetings, including agenda creation, minute-taking, and follow-up on action items.
  • Assist in the planning and execution of special projects and initiatives, tracking progress and ensuring timely completion.
  • Maintain and organize files, records, and documentation, ensuring confidentiality and secure handling of sensitive information.
  • Act as a liaison between the CEO/Administrator and staff, board members, donors, and other stakeholders, fostering positive relationships and effective communication.
  • Assist in the planning and execution of organizational events.
  • Prioritize and manage multiple tasks and projects with minimal supervision, anticipating the needs of the CEO/Administrator and providing proactive support.

Requirements

  • Minimum of 5 years of experience as an Executive Assistant or in a similar administrative role, preferably in a healthcare or not-for-profit environment.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle confidential information with discretion.
  • Strong interpersonal skills and the ability to build relationships with stakeholders.
  • Proactive problem-solving abilities and a high degree of initiative.
