About the position

Solomon Page, a well-known American manufacturer based in Parsippany, NJ, is seeking a highly skilled and experienced Senior Executive Assistant to support the CEO and the Chief of Staff. This full-time, permanent position requires a minimum of 8-10 years of applicable experience in supporting C-Suite executives, along with a Bachelor's degree. The ideal candidate will be a collaborative partner with a positive attitude, dedicated to making it easier for executives to perform their roles effectively. Candidates should be polished, professional, and possess a high degree of flexibility, attention to detail, and technological proficiency, particularly in Microsoft Office and Google Suite. Excellent interpersonal and communication skills, both verbal and written, are essential for this role. The salary for this position ranges from $125,000 to $170,000, depending on experience, and includes eligibility for a discretionary bonus and excellent benefits, including a 401k match. The working hours are from 8:30 AM to 5:00 PM, with the flexibility to work overtime or outside of standard office hours as needed. The position also offers a hybrid work schedule, requiring four days in the office and one day remote. The Senior Executive Assistant will serve as the primary point of contact for internal colleagues and senior management teams, as well as external constituencies, handling all matters related to the Office of the CEO and the Chief of Staff. This role involves scheduling and organizing extensive meetings, preparing briefing documents, managing the executive's inbox, coordinating travel arrangements, and handling sensitive matters with confidentiality and discretion. The candidate must also be available on evenings and weekends for urgent matters, although this is infrequent. Ad hoc projects will also be assigned as needed.

Responsibilities

  • Serve as the primary point of contact for internal colleagues and senior management teams and external constituencies on all matters pertaining to the Office of the CEO and the Chief of Staff.
  • Liaise with the Parent Company's administrative team.
  • Schedule and organize extensive internal and external meetings, conference/video calls, and appointments with critical participants; manage, prioritize, and maintain a busy and dynamic calendar of meetings and events.
  • Read, research, collect, and analyze information as needed and prepare briefing documents with respect to meeting attendees, sites, companies, etc., in advance of executives' meetings or other events.
  • Prepare documents, spreadsheets, slide presentations, agendas, reports, special projects, and other documents in support of objectives for the organization.
  • Manage the executive's inbox to help prioritize, reduce wasted time on unnecessary emails, and ensure the most important messages are handled in a timely manner.
  • Coordinate complex domestic and international travel arrangements and detailed itineraries.
  • Prepare, process, and submit expense reports.
  • Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the operations of the company.
  • Maintain availability on evenings and weekends regarding urgent matters requiring attention.
  • Complete ad hoc projects as assigned.

Requirements

  • Minimum 8-10+ years of applicable experience supporting C-Suite Executives.
  • Bachelor's degree required.
  • Technologically savvy with advanced proficiency in Google Suite (Gmail, Docs, Sheets, and Slides).
  • Possesses a positive attitude and is extremely flexible.
  • Polished and professional demeanor.
  • Detail-oriented with excellent interpersonal and communication skills (both verbal and written).
  • Flexibility to work outside of work hours as dictated by the needs of business for projects, events, and meetings; willingness to travel as needed to support major projects/initiatives (approx. 10% travel).
