About the position

The Executive Assistant to the CEO and CFO at Midwest Transplant Network (MTN) is responsible for providing comprehensive administrative support to the organization's top executives. This role is pivotal in ensuring smooth communication and operational efficiency within the organization. The Executive Assistant will manage all administrative communications with the Governing Board and Advisory Board, acting as a liaison between the leadership team and board members. This position requires a high level of professionalism and the ability to maintain confidentiality in all corporate and personnel matters. Key responsibilities include scheduling and coordinating meetings, serving as the administrator for online meetings, and maintaining records of attendance and meeting minutes. The Executive Assistant will also prepare agendas, notices, and resolutions for corporate meetings, ensuring that all documentation is secured and posted in a timely manner. Additionally, the role involves managing the calendars of the CEO and CFO, prioritizing inquiries and requests, and troubleshooting any scheduling conflicts that may arise. The Executive Assistant will also coordinate travel arrangements for executives and board members, manage the collection and distribution of mail, and perform regular coverage of the executive suite reception area. This position may require occasional travel within the service area and the ability to work flexible hours, including some nights and weekends for meetings. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to work autonomously while effectively managing multiple tasks and priorities.

Responsibilities

  • Provide high-level comprehensive administrative support to the CEO and CFO.
  • Maintain professional relationships and serve as a liaison for Governing and Advisory Board members.
  • Support activities for Boards of Directors, including scheduling meetings and maintaining records.
  • Serve as the primary point of contact for general information when CEO or CFO is unavailable.
  • Manage sophisticated calendar management for CEO and CFO, prioritizing inquiries and requests.
  • Prepare agendas, notices, minutes, and resolutions for corporate meetings as requested.
  • Create and maintain database information, spreadsheets, and presentation files for CEO and CFO.
  • Coordinate conferences, Board meetings, and other functions sponsored by MTN.
  • Coordinate travel arrangements and registrations for Executive & board member travel.
  • Maintain confidentiality of all corporate and personnel matters.
  • Perform regular coverage of the executive suite reception area as part of a rotating schedule.

Requirements

  • Bachelor's degree required.
  • Minimum of three years of progressively responsible experience in executive support.
  • Excellent interpersonal, verbal, and written communication skills.
  • Strong computer skills, particularly in Microsoft Office applications.
  • Exceptional organizational skills and attention to detail.
  • Ability to self-motivate and function autonomously.
  • Strong problem-solving skills and ability to monitor work for accuracy.
  • Ability to prioritize and plan work activities efficiently.

Nice-to-haves

  • Nonprofit Board experience is highly preferred.
  • Ability to react with appropriate levels of urgency to situations that require quick response.
  • Experience in coordinating special organizational events or activities.
