About the position

The Executive Assistant to the CEO and CFO is responsible for providing comprehensive administrative support to the executive leadership of the Midwest Transplant Network. This role involves managing communications with the Governing and Advisory Boards, scheduling meetings, maintaining records, and ensuring smooth operations within the executive suite. The position requires a high level of professionalism, discretion, and the ability to manage multiple tasks efficiently.

Responsibilities

  • Provide high-level comprehensive administrative support to the CEO and CFO.
  • Maintain professional relationships with the leadership team and serve as a liaison for Governing and Advisory Board members.
  • Schedule meetings and serve as administrator for online meetings of boards and committees.
  • Maintain records for meeting attendance, minutes, and documents; ensure retention of all documents.
  • Serve as the primary point of contact for general information when CEO or CFO is unavailable.
  • Provide timely meeting reminders and support for upcoming appointments.
  • Prepare agendas, notices, minutes, and resolutions for corporate meetings as requested.
  • Create and maintain database information, spreadsheets, and presentation files for CEO and CFO.
  • Coordinate conferences, Board meetings, and other functions sponsored by Midwest Transplant Network.
  • Coordinate travel arrangements and registrations for Executive & board member travel arrangements.
  • Maintain confidentiality of all corporate and personnel matters.

Requirements

  • Bachelor's degree required.
  • Minimum of three years of progressively responsible experience in executive support required.
  • Excellent interpersonal, verbal, and written communication skills.
  • Strong computer skills, particularly in Microsoft Office applications.
  • Exceptional organizational skills and attention to detail.
  • Ability to prioritize and plan work activities efficiently.

Nice-to-haves

  • Nonprofit Board experience is highly preferred.
  • Ability to self-motivate and function autonomously.
  • Strong problem-solving skills.
