About the position

El Camino Group, LLC is seeking a highly skilled and organized Executive Assistant (EA) to provide critical support to the CEO in both administrative and operational tasks. The EA will work 28-35 hours per week from a home office based in Beverly Hills, managing the CEO's schedule, communications, and operational tasks while coordinating projects and events with clients and contractors.

Responsibilities

  • Manage the CEO's complex calendar and appointments, ensuring seamless scheduling and prioritization.
  • Handle high-volume email correspondence, urgent matters, and draft responses on behalf of the CEO.
  • Coordinate travel arrangements, including lodging, transportation, and itineraries for business trips or client meetings.
  • Maintain the CEO's professional certifications and records and handle any recertification processes.
  • Manage personal tasks and errands when necessary.
  • Provide on-site client, program, and event support when needed (within 40 miles of office).
  • Oversee day-to-day administrative tasks including organizing meetings, maintaining files, tracking financials, and supporting compliance.
  • Assist with the preparation of presentations, reports, and other materials for client meetings.
  • Serve as a liaison between the CEO and external clients or contractors, ensuring clear and timely communication.
  • Collaborate with the CEO on drafting, editing, and finalizing client proposals.
  • Conduct research to support the development of proposals and other client-facing documents.
  • Track invoices, manage accounts payable/receivable, and collaborate with the CFO on financial matters.
  • Maintain accurate financial records and ensure timely client invoicing.

Requirements

  • Bachelor's degree in business, communications, or a related field preferred.
  • 5 years of experience in a senior administrative or executive assistant role supporting C-suite executives.
  • Experience in client-facing roles within consulting or business development is a plus.
  • Experience working in a C-suite executive's home-office completing professional and personal tasks.
  • Strong verbal and written communication skills, with exceptional attention to detail.
  • Proficiency in Microsoft Office, Google Workspace, and project management tools.
  • Experience in financial tracking and reporting, including invoicing and managing payments.
  • Ability to prioritize and handle multiple tasks efficiently, with a proactive problem-solving approach.
  • Knowledge of virtual collaboration tools like Zoom, Microsoft Teams, and scheduling platforms.
  • Experience in event planning and travel coordination.
  • Familiarity with AI technologies, such as ChatGPT, for streamlining tasks.

Benefits

  • $24 - $26/hour based on experience
