About the position

As the Executive Assistant to the CEO at Cirro Global, you will play a crucial role in ensuring the smooth operation of the CEO's office. This position requires a highly organized and proactive individual who can manage a variety of tasks and responsibilities with professionalism and discretion. You will be responsible for managing the CEO's calendar, which includes scheduling appointments, meetings, and travel arrangements. Your ability to screen and prioritize incoming communications, including emails, phone calls, and mail, will be essential in maintaining an efficient workflow. In addition to managing the CEO's schedule, you will prepare and edit correspondence, communications, presentations, and other documents on behalf of the CEO. Maintaining both electronic and physical filing systems will be part of your duties, ensuring that documents are easily retrievable. You will also handle expense reports and reimbursement requests, coordinate internal and external meetings, and assist the CEO in managing various projects and initiatives by tracking progress, deadlines, and deliverables. Your role will involve conducting research and gathering information to support decision-making processes, as well as coordinating with other departments and stakeholders to ensure alignment on key initiatives. Handling sensitive information with confidentiality and discretion is paramount, and you will be expected to maintain a high level of professionalism in all interactions. Additionally, you will take on special projects and assignments as requested by the CEO, which may include research, analysis, or event planning. The ability to anticipate the needs of the CEO and adapt to changing priorities in a fast-paced environment will be critical to your success in this role.

Responsibilities

  • Manage the CEO's calendar, including scheduling appointments, meetings, and travel arrangements.
  • Screen and prioritize incoming communications, including emails, phone calls, and mail.

Requirements

  • Bachelor's degree or above.
  • Bilingual in Chinese and English.
  • Proven experience as an executive assistant or similar role.
  • Excellent communication and interpersonal skills, with the ability to interact with individuals at all levels of the organization.
  • Strong organizational skills and attention to detail, with the ability to multitask and prioritize effectively.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Discretion and confidentiality when handling sensitive information.
  • Adaptability and resourcefulness in problem-solving.
  • Professionalism and a positive attitude, even under pressure.
