This position requires a candidate with a strong background in executive assistance, who possesses the confidence, enthusiasm, and motivation to support the CEO in both her professional and personal endeavors. The ideal candidate will be expected to manage a variety of tasks that require a flexible schedule and the ability to travel as needed. This role is perfect for someone who is committed to professional growth, leadership, and excelling in their career. The Executive Assistant will provide high-level administrative support to the CEO, which includes managing calendars, scheduling appointments, and coordinating meetings. The candidate will also be responsible for preparing and transcribing meeting minutes, memos, and other important documents. Additionally, the role involves assisting with project coordination, following up on action items, performing data entry, and maintaining accurate records. Handling sensitive and confidential information with discretion is crucial in this position. Moreover, the Executive Assistant will serve as a point of contact for both internal and external stakeholders, run personal errands as needed, and attend major events and conferences to network on behalf of the CEO. The candidate will also manage phone systems, screen calls, and take messages, while being prepared to assist with any additional tasks as required by the CEO.

Responsibilities

Requirements

  • Proven experience as an executive assistant
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines
  • Excellent communication skills, both written and verbal
  • Attention to detail and accuracy in all work performed
  • Ability to handle multiple projects simultaneously and adapt to changing priorities
  • Bilingual in Spanish and English
  • Knowledge of Outlook Calendar or similar scheduling software
  • Outgoing and fast-learning personality
  • Available open schedule

Nice-to-haves

  • 2 years of experience as an executive assistant (Preferred)
  • Willingness to travel 50% (Preferred)
