About the position

We are seeking a dynamic and resourceful Executive Assistant to support our CEO at our Boston office. This role is not just about traditional administrative tasks; it encompasses a variety of responsibilities that include sales, marketing, and data analysis. The ideal candidate will be tech-savvy and eager to dive into the world of sales and marketing while managing CRM data and creating insightful reports. As an Executive Assistant, you will manage the CEO's calendar, coordinate travel arrangements, and set up meetings. You will also be responsible for utilizing Salesforce, HubSpot, and other CRM tools to pull and analyze customer data, manage leads, and update records. Your analytical skills will be put to the test as you generate detailed reports that provide insights into sales performance and customer behavior. Additionally, you will assist in closing accounts, drafting email campaigns, and supporting other sales-related tasks. This role requires a high level of collaboration with sales, marketing, and other teams to ensure alignment and support their data and reporting needs. You will also have the opportunity to assist in planning and executing social media and marketing campaigns to enhance brand visibility and engagement. Responsibilities

  • Manage the CEO's calendar, set up meetings, and coordinate travel arrangements.
  • Utilize Salesforce, HubSpot, and other CRM tools to pull and analyze customer data, manage leads, and update records.
  • Analyze customer data to support sales strategies and campaigns.
  • Generate detailed reports to provide insights into sales performance and customer behavior.
  • Create, organize, and maintain spreadsheets to ensure data accuracy and accessibility.
  • Assist in closing accounts, drafting email campaigns, setting up Klaviyo, and supporting other sales-related tasks.
  • Pull and generate detailed sales and performance reports for executive review.
  • Create and execute email campaigns, including setting up automated email flows, to engage customers and drive sales.
  • Assist in planning and executing social media and other marketing campaigns to enhance brand visibility and engagement.
  • Work closely with sales, marketing, and other teams to ensure alignment and support their data and reporting needs.

Requirements

  • Proficiency in Salesforce, HubSpot, Klaviyo, and spreadsheet software (e.g., Excel, Google Sheets).
  • Strong background in managing CRMs, pulling customer data, and analyzing that data for actionable insights.
  • High attention to detail and precision in managing and organizing data.
  • Excellent written and verbal communication skills to effectively support the CEO and collaborate with other teams.
  • Strong problem-solving abilities and a proactive approach to tasks.
  • Comfortable with technology and able to quickly adapt to new tools and software.

Nice-to-haves

  • Previous experience in an executive support role or a sales support role.
  • Familiarity with data visualization tools (e.g., Tableau, Power BI).
  • Understanding of sales processes and customer relationship management.
  • Experience drafting and executing email campaigns.
