About the position

The Executive Assistant to the CEO at Spinnaker Property Management is a vital role that provides comprehensive support to the CEO and Founder. This position requires a proactive problem solver with exceptional communication skills and meticulous attention to detail. The executive assistant will manage the CEO's calendar, handle communications, prepare reports, and coordinate travel arrangements, all while maintaining confidentiality and supporting the dynamic needs of the executive landscape.

Responsibilities

  • Manage the CEO's calendar, including scheduling meetings and appointments using Outlook Calendar.
  • Handle incoming communications, including phone calls and emails, ensuring timely responses and appropriate follow-ups.
  • Prepare and edit correspondence, reports, and presentations with a focus on proofreading for accuracy.
  • Organize and maintain files, both electronic and paper, ensuring easy access to important documents.
  • Support financial compliance and periodic reporting for the organization and the CEO's assets.
  • Coordinate travel arrangements for the CEO, including booking flights, accommodations, and transportation.
  • Act as a liaison between the CEO and other staff members and outside agencies.
  • Support special projects as assigned by the CEO, demonstrating flexibility and adaptability in task management.

Requirements

  • Proven experience as an Executive Assistant or in other administrative roles reporting directly to upper management.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Proficiency in computer literacy, including Microsoft Office Suite (Word, Excel) and phone systems.
  • Proficiency with office productivity tools and an aptitude for learning new software and systems.
  • Flexible team player, willing to adapt to changes and unafraid of challenges.
  • Excellent typing skills with attention to detail in all written communications.
  • Previous experience as a personal assistant or clerk is advantageous.
