About the position

OrangeTree Management is seeking an Executive Assistant to the CEO who will provide high-level administrative support to the CEO by managing their calendar, coordinating meetings, preparing reports, handling information requests, and performing various clerical functions. This role requires exceptional organizational skills, the ability to prioritize and manage multiple tasks, and the ability to maintain a high level of confidentiality. The ideal candidate will be proactive, detail-oriented, and able to work independently in a fast-paced environment. The Executive Assistant will be responsible for managing and maintaining the CEO's schedule, including coordinating appointments, meetings, and travel arrangements. Acting as the primary point of contact between the CEO and internal/external stakeholders, the Executive Assistant will handle correspondence, emails, and phone calls, responding on behalf of the CEO when appropriate. Additionally, the role involves organizing and preparing materials for meetings, including agendas, presentations, and reports, as well as taking minutes during meetings and following up on action items. Travel arrangements will also be a key responsibility, requiring the planning and coordination of all travel logistics for the CEO, including flights, accommodations, transportation, and itineraries. The Executive Assistant will prepare and edit correspondence, reports, presentations, and other documents as needed, while handling sensitive information with the utmost discretion and confidentiality. Furthermore, the role includes assisting the CEO in managing projects, tracking progress, and ensuring deadlines are met, as well as coordinating and managing special events, conferences, and company-wide meetings as needed. Finally, the Executive Assistant will track and manage the CEO's expenses, ensuring accurate and timely processing of reports.

Responsibilities

Requirements

  • Bachelor's degree in Business Administration, Communications, or a related field preferred.
  • 5+ years of experience in an executive assistant or similar role, preferably supporting C-level executives.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to work independently and manage multiple priorities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong attention to detail and accuracy.
  • Ability to maintain a high level of confidentiality.
  • Excellent problem-solving skills and the ability to think critically.
