The Executive Assistant to the CEO will play a critical role in supporting the CEO's vision and strategic initiatives while enhancing the academy's marketing efforts. This multifaceted position requires a highly organized and motivated individual with a passion for the arts and education, strong communication skills, and a creative mindset. The Executive Assistant will provide comprehensive administrative support to the CEO, manage calendars, schedule meetings, coordinate travel arrangements, and prepare correspondence, reports, and presentations for internal and external stakeholders. Additionally, the role involves maintaining organized files and records, assisting in budget tracking, and serving as a point of contact between the CEO and various stakeholders. In terms of marketing support, the Executive Assistant will collaborate with the CEO to develop and implement marketing strategies, manage social media platforms, assist in designing promotional materials, conduct market research, and help coordinate events and performances. The position also includes general duties such as monitoring emails and phone calls, assisting in special projects, and staying informed about industry trends to support the academy's growth and success.

Responsibilities

  • Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare and edit correspondence, reports, and presentations for internal and external stakeholders.
  • Maintain organized files and records, ensuring confidentiality and easy access to important documents.
  • Assist in budget tracking and expense management related to marketing initiatives and executive activities.
  • Serve as a point of contact between the CEO and staff, parents, and community partners, fostering strong relationships.
  • Collaborate with the CEO to develop and implement marketing strategies that promote Heartbeat Music and Performing Arts Academy's programs and initiatives.
  • Manage social media platforms, including creating and scheduling engaging content that highlights academy activities, events, and success stories.
  • Assist in the design and distribution of promotional materials, such as flyers, newsletters, and brochures, to attract new families and engage the community.
  • Conduct market research to identify trends, opportunities, and competitive analysis in the childcare and arts education sectors.
  • Help coordinate events, workshops, and performances, including logistics, promotions, and post-event follow-up.
  • Monitor and respond to emails and phone calls, prioritizing urgent matters and ensuring timely communication.
  • Assist in special projects and initiatives as assigned by the CEO, contributing to overall organizational effectiveness.
  • Stay informed about industry trends, best practices, and new marketing techniques to support the academy's growth and success.

Requirements

  • Bachelor's degree in Business Administration, Business Management, Marketing, or a related field preferred.
  • Proven experience as an Executive Assistant, Marketing Assistant, or similar role, preferably in the education or arts sector.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and familiar with marketing tools (e.g., social media platforms, email marketing software).
  • Excellent verbal and written communication skills with a strong attention to detail.
  • Exceptional organizational skills and ability to manage multiple priorities in a fast-paced environment.
  • Passion for music, performing arts, and early childhood education is highly desirable.
