The Executive Assistant to the CEO at The Arden Group, Inc. plays a crucial role in ensuring that the CEO remains organized and on schedule throughout the day and week. This position requires a high level of interaction with the CEO and frequent communication with other key employees within the organization. The Executive Assistant will be responsible for coordinating the CEO's schedule, managing a daily To-Do list, and orchestrating various appointments and meetings. This includes screening requests for time, resolving scheduling conflicts, and ensuring that the CEO is aware of all meeting times and locations. Additionally, the Executive Assistant will coordinate travel arrangements, which may involve making travel bookings, applying for visas, and preparing detailed itineraries for the CEO's trips, including setting up meetings in travel locations and attending some conferences as needed. In terms of communication, the Executive Assistant will act as a gatekeeper, filtering communications and prioritizing tasks for the CEO. This includes communicating with other employees and external parties on behalf of the CEO, answering inquiries, and drafting longer email messages. The role also involves producing consolidated reports for the CEO, managing relationships with key external business partners, and preparing written materials needed by the CEO. This includes assisting in the creation of presentations and talking points, staying informed on areas of interest to the CEO, and analyzing and summarizing data to present options or findings effectively. The Executive Assistant will also provide support for company meetings and events, assisting Investor Relations with investor forums and conferences, as well as supporting HR with company-wide employee events such as holiday parties. This position does not have any supervisory responsibilities but requires a high level of professionalism and the ability to perform each essential duty satisfactorily.
