About the position

An Exclusive Events Company is seeking an organized and prompt Executive Assistant to support their brilliant CEO and Founder. This high-level and fast-paced support role requires the individual to anticipate the needs of the CEO and streamline daily administrative and operational tasks while supporting strategic initiatives. The Executive Assistant will function as a partner to the CEO and manage long-term projects, ensuring that all tasks are executed efficiently and effectively. The ideal candidate will possess excellent project management and organizational skills and will be willing to assist wherever needed. This position is primarily onsite between Marin and San Francisco, providing a dynamic work environment that fosters collaboration and innovation. In this role, the Executive Assistant will oversee the CEO's complex calendar, organizing meetings and conference calls to ensure optimal time management. The individual will coordinate both domestic and international travel arrangements, acting as a gatekeeper by screening and directing incoming emails and phone calls. Drafting internal and external communications will also be a key responsibility, along with assisting in marketing efforts such as managing the company's newsletters and website. Light personal support, including coordinating appointments and completing errands, will be required as needed. The Executive Assistant will also be responsible for setting up and maintaining up-to-date systems and data, taking ownership of additional duties and special projects as they arise.

Responsibilities

  • Oversee the CEO's complex calendar and organize meetings and conference calls.
  • Coordinate domestic and international travel arrangements.

Requirements

  • At least two years of experience in C-level support.
  • Professional and sophisticated communication skills; ample experience liaising with clients, vendors, and associates of all levels.
  • Proficiency in MS Office, Google Suite, and Mailchimp.
  • Tactful and thoughtful project management and organization skills.
  • Discreet approach to sensitive information.
  • Self-motivated, positive, and adaptable work style.
  • Bachelor's degree in Communication or Marketing.
