About the position

The Executive Assistant to the CEO at P2M Brands LLC plays a crucial role in supporting the CEO by managing their schedule, communications, and various administrative tasks. This position is designed to enable the CEO to focus on strategic goals and high-level decision-making, ensuring that day-to-day operations run smoothly.

Responsibilities

  • Organizing and maintaining the executive's schedule, including arranging meetings and scheduling appointments.
  • Making travel arrangements, such as flights, accommodations, and itineraries for both work and personal travel.
  • Managing incoming and outgoing communications, drafting emails, and handling inquiries promptly.
  • Drafting, proofreading, and formatting documents, and organizing files.
  • Researching, gathering data, and providing updates to the executive for project support.
  • Ensuring that all materials, documents, and presentations are ready for meetings and coordinating with attendees.
  • Assisting with the planning and execution of various projects, ensuring deadlines are met.
  • Creating and maintaining budgets for various entities.
  • Providing regular updates on project progress and highlighting any potential issues.
  • Managing confidential information with the utmost discretion.
  • Establishing a trusted relationship with the executive and maintaining integrity at all times.
  • Managing social media and content for various entities.

Requirements

  • Exceptional organizational skills to manage multiple tasks and prioritize effectively.
  • Excellent verbal and written communication skills, with the ability to interact with all levels of the organization.
  • Proficiency in Google Workspace, Slack, Monday.com, and other relevant software applications.
  • Strong analytical skills and the ability to think critically and make sound decisions.
  • Efficient time management skills to ensure timely completion of tasks.
  • A Bachelor's degree in Business Administration or a related field is preferred.
  • Minimum of 5 years of experience in a similar role, preferably supporting senior executives.

Nice-to-haves

  • Professional certifications such as Certified Administrative Professional (CAP) or Executive Assistant Certificate is preferred.
