About the position

The Executive Assistant to the CEO plays a crucial role in supporting the Chief Executive Officer of Utopian Academy for the Arts. This position involves managing a complex calendar, arranging travel, and handling communications, ensuring that the CEO's time is utilized effectively. The ideal candidate will thrive in a fast-paced environment, maintain confidentiality, and demonstrate initiative while anticipating the needs of the CEO. This role is essential for facilitating smooth operations within the organization and requires a high level of organization and problem-solving skills.

Responsibilities

  • Schedule a complex and dynamic calendar for the CEO, managing requests for their time.
  • Arrange travel, handle expense reports, and organize documents and files.
  • Manage administrative procedures, workflow, and communications for the Office of the CEO.
  • Act as a liaison between the Office of the CEO and all departments/staff, as well as key external constituents.
  • Craft correspondence on behalf of the CEO.
  • Field telephone calls and visit requests, determining which inquiries to handle directly or refer.
  • Prepare for and attend meetings, including scheduling and facilitating board meetings.
  • Identify, prepare, and compile necessary materials for meetings, reports, and presentations.
  • Organize and provide administrative support for special projects and events, including research and data analysis.
  • Ensure compliance with state and authorizer requirements, assisting with employee clearances.
  • Provide advice and recommendations, making delegated decisions as needed.
  • Prepare materials for board meetings and maintain the shared board folder.
  • Plan and coordinate employee recognition events.

Requirements

  • Bachelor's degree from a 4-year, accredited college or university.
  • Experience working in a fast-paced environment.
  • Excellent organizational and problem-solving skills with attention to detail.
  • Ability to handle multiple urgent priorities effectively.
  • Strong relationship-building skills with diverse audiences.
  • High degree of discernment, tact, and integrity.
  • Respect for confidentiality in communications and documents.
  • Flexibility and adaptability to changing needs and demands.
  • Demonstrated initiative and ability to work independently with accuracy.
  • Proficiency with computer equipment including MAC, iPhone, iPad, and Google Suite applications.

Nice-to-haves

  • Experience with Microsoft Excel and PowerPoint (1 year preferred).
  • Ability to commute or relocate to Ellenwood, GA.
