About the position

The Executive Assistant to the Chief Financial Officer (CFO) and Corporate Compliance Officer at Geneva General Hospital plays a crucial role in providing comprehensive administrative support to the Finance team. This position is integral to the smooth operation of the Finance Division, which encompasses various departments including Information Services, Health Information Management, Patient Financial Services, Finance, and Revenue Cycle. The Executive Assistant will be responsible for managing day-to-day office operations for the Budget and Reimbursement & Accounting departments, ensuring that all administrative tasks are executed efficiently and effectively. In this role, the Executive Assistant will be expected to handle a variety of responsibilities that include scheduling meetings, managing correspondence, preparing reports, and maintaining organized records. The ideal candidate will possess strong customer service skills and be proficient in Microsoft Office applications, particularly Excel. While prior experience in corporate compliance is not mandatory, any relevant experience will be considered beneficial. The position is full-time and located on-site at Geneva General Hospital, with typical office hours from Monday to Friday. The Executive Assistant will also be required to demonstrate excellent communication skills, both verbal and written, and must be able to think logically and make sound decisions under pressure. Attention to detail and the ability to maintain confidentiality are critical aspects of this role, as the Executive Assistant will be privy to sensitive financial information. The successful candidate will thrive in a fast-paced environment and will be expected to work independently while managing multiple tasks effectively.

Responsibilities

  • Provide administrative support to the Chief Financial Officer (CFO) and Corporate Compliance Officer.
  • Manage day-to-day office operations for the Budget and Reimbursement & Accounting departments.
  • Schedule meetings and manage calendars for the CFO and other finance directors.
  • Prepare reports and maintain organized records for the Finance Division.
  • Handle correspondence and communication on behalf of the CFO and Corporate Compliance Officer.
  • Assist in the preparation of financial documents and presentations as needed.
  • Ensure confidentiality and discretion in handling sensitive information.

Requirements

  • Associate or Bachelor's degree in finance, business, or a related field preferred.
  • Minimum of three years of administrative level assistant experience required.
  • Excellent computer skills in Windows Microsoft Office Suite applications including Excel, PowerPoint, and Word.
  • Strong verbal, non-verbal, and written communication skills.
  • Logical thinking, judgment, and sound decision-making abilities under pressure.
  • Strong organizational and planning skills.
  • Problem analysis and problem-solving skills.
  • Attention to detail and accuracy is critical.
  • Ability to work independently in a fast-paced environment.

Nice-to-haves

  • Experience with corporate compliance is beneficial but not required.
  • Commissioned as Notary Public in New York State preferred.
