About the position

The Executive Assistant (EA) to the Chief Financial Officer (CFO) at Cedars-Sinai is a pivotal role that encompasses a wide range of complex and confidential administrative duties. The EA will demonstrate initiative, resourcefulness, and problem-solving skills while developing a detailed understanding of the responsibilities and functions of the CFO's office and the larger Health System. This position requires the ability to organize and prioritize work effectively, establish procedures and systems, and ensure the orderly and timely flow of business through the office. The EA will maintain the supervisor's calendar, screen calls, schedule meetings, take minutes, arrange travel reservations, type correspondence and reports, and perform related duties as required. In this fast-paced and complex environment, the EA will balance multiple concurrent high-level projects and tasks while accommodating unstructured situations and changing priorities. The role involves collaborating with department leadership to develop accountability systems, monitor the efficiency and effectiveness of various CFO initiatives, and foster continuous improvement of systems and processes. The EA will also be responsible for preparing materials for Board of Directors (BOD) meetings, including creating agendas, assisting with presentations, and ensuring member engagement. Additionally, the EA will organize and deliver on special projects for the CFO, establish team success by organizing teams, conducting research, and coordinating with internal and external resources. The position requires prioritizing workflow to ensure timely delivery and adequate follow-up on tasks. The EA will partner with internal and external stakeholders to ensure the success of initiatives, coordinate project delivery across various departments, and maintain essential relationships with external partners, including BOD members and financial institutions.

Responsibilities

  • Maintain the CFO's calendar and schedule meetings.
  • Screen calls and manage correspondence for the CFO.
  • Coordinate travel arrangements and prepare travel itineraries.
  • Take minutes during meetings and ensure timely distribution.
  • Assist in the preparation of materials for Board of Directors meetings, including agendas and presentations.
  • Organize and deliver special projects for the CFO, ensuring timely completion and communication.
  • Collaborate with department leadership to develop accountability systems and monitor CFO initiatives.
  • Coordinate delivery of projects across various departments including Finance, Revenue Cycle, and Compliance.
  • Maintain relationships with external partners and ensure attendance at finance-related BOD meetings.
  • Participate in human resource and payroll functions as needed.

Requirements

  • Three (3) plus years of previous planning, finance, and/or business development experience in a healthcare organization or consulting organization providing services to the healthcare industry.
  • Bachelor's degree in Finance, Administrative, Business Development, or related field.
