About the position

The Executive Assistant to the CFO plays a crucial role in ensuring that the senior executives' priorities are met and that organizational goals are achieved through effective planning and organization. This position is responsible for managing the schedules and communications of the CFO and other department leadership, thereby facilitating efficient operations within Chumash Enterprises.

Responsibilities

  • Provides administrative support to the Chief Financial Officer (CFO) and the departments under the CFO's supervision.
  • Supports the senior leadership team as a business partner.
  • Schedules and maintains calendar of appointments, meetings, events, training, and travel itineraries for senior leadership, team members, tribal members, and outside consultants.
  • Creates meeting materials, schedules, responses, correspondence, and other forms of communication for the department.
  • Arranges travel and other accommodations.
  • Manages and processes invoices for vendors, consultants, and events.
  • Screens and responds to Executive Office inquiries, exercising discretion and independent judgment.
  • Administers and advises on programs, projects, and/or processes specific to Finance.
  • Serves as administrative liaison with others regarding administrative issues related to purchasing, personnel, facilities, and operations.
  • Prepares statistical, financial, and administrative reports.
  • Assists the executive in meetings and prepares minutes for the meeting.
  • Conducts research, collects, and analyzes data to prepare reports and documents.
  • Assists in budget preparation and control activities.
  • Maintains confidentiality regarding sensitive information.
  • Receives and screens visitors, demonstrating professionalism and high standards of service.
  • Tracks Team Member reports to Payroll accurately and timely.
  • Submits Personnel Action Forms (PAFs) and other internal eforms as needed.
  • Maintains inventory of office supplies and materials for department operations; submits check requests and purchase orders as needed.
  • Promotes a work environment that fosters teamwork, partnership, recognition, mutual respect, and collaboration.

Requirements

  • High School Diploma or GED Certificate.
  • Bachelor's Degree in Business, Communications, or equivalent work experience.
  • Advanced proficiency in MS Word, PowerPoint, Outlook, and Internet.
  • Advanced proficiency in Excel/spreadsheets is essential for success in the role.
  • Five years of progressive administrative work experience.
  • Must apply for, receive, and maintain a Gaming License from the Tribal Gaming Agency.
