About the position

The Executive Assistant to the Chief Financial Officer (CFO) will provide high-level administrative support to ensure the efficient operation of the CFO's office. This role requires exceptional organizational skills, attention to detail, and the ability to manage sensitive information with discretion. The ideal candidate will have significant experience working with C-Suite personnel, particularly CFOs, and will possess strong communication and interpersonal skills.

Responsibilities

  • Manage the CFO's calendar, schedule meetings, and coordinate travel arrangements.
  • Prepare, edit, and review agreements, correspondence, reports, and presentations.
  • Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Serve as the primary point of contact between the CFO and internal/external stakeholders.
  • Screen and prioritize communications, including emails and phone calls.
  • Maintain and organize confidential files and records, ensuring they are easily accessible and up-to-date.
  • Assist with special projects and initiatives, ensuring they are completed on time and within scope.
  • Manage and reconcile expense reports, ensuring compliance with company policies.
  • Assist in planning and organizing company events, conferences, and executive off-sites.
  • Coordinate and complete other administrative duties, projects, and tasks as assigned.

Requirements

  • Minimum of 3 years of experience as an Executive Assistant, preferably within a corporate environment supporting CFOs.
  • Bachelor's degree in Business Administration, Finance, or a related field is preferred.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to handle confidential information with discretion, professionalism, and sound judgement.
  • Strong interpersonal skills and the ability to build relationships with stakeholders at all levels.
  • Proactive approach to problem-solving with strong decision-making capability.
  • Detail-oriented with the ability to multitask and prioritize effectively.
