About the position

The Executive Assistant to the CFO at LeMoyne-Owen College provides high-level administrative support to the Chief Financial Officer and plays a crucial role in managing the college's financial operations. This position requires a proactive and detail-oriented individual with strong organizational and communication skills, capable of managing multiple priorities to enhance the efficiency of the Finance Office.

Responsibilities

  • Serve as the initial point of contact for the CFO.
  • Provide routine schedule updates and briefs on subject matters before meetings as required.
  • Manage the CFO's calendar, including scheduling meetings, coordinating travel, and preparing itineraries.
  • Prepare and edit correspondence, reports, and presentations for internal and external stakeholders.
  • Coordinate and facilitate communication between the CFO and other departments, faculty, staff, and external partners.
  • Assist in the preparation of financial reports, budgets, and forecasts.
  • Maintain and organize financial documents and records in compliance with college policies.
  • Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Prepare materials and documentation for board meetings, financial audits, and other critical events.
  • Maintain confidentiality and exercise discretion when handling sensitive information related to financial operations and institutional matters.
  • Ensure compliance with applicable regulations and college policies in all financial activities.
  • Assist with accounts payable and receivable processes, ensuring timely and accurate transactions.
  • Help in preparing journal entries and reconciling accounts.
  • Maintain financial databases and ensure data integrity.
  • Perform additional tasks assigned by the VP for Finance.

Requirements

  • Associate degree with 3-5 years of high-level administrative experience; Bachelor's degree preferred.
  • Knowledge of executive-level administrative duties and clerical management.
  • Ability to compile and process computer data and to format/generate reports using Microsoft Office.
  • Excellent communication (written/verbal) and interpersonal skills.
  • Ability to manage multiple tasks in a timely manner.
  • Ability to utilize related automated systems and software.
  • Superior organizational, analytical, and planning skills.
  • Superior time management skills and the ability to prioritize work.
  • Excellent proof-reading skills.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with accounting/financial software.
  • High level of professionalism and discretion in handling confidential information.
