About the position

A startup pharmaceutical company is seeking an Executive Assistant to support their incredible Chief Financial Officer (CFO) in a 1:1 role. This position is ideal for someone who can be a true "right-arm" to the CFO, demonstrating flexibility and adaptability in a dynamic startup environment. The CFO is looking for an Executive Assistant with a strong background in executive support, particularly someone who has experience in managing the complexities of a CFO's schedule and responsibilities. The role requires a proactive individual who can anticipate needs and help the CFO stay focused on priorities. The Executive Assistant will be responsible for handling all scheduling and Outlook calendar management, ensuring that the CFO's day-to-day activities are organized and efficient. This includes heavy meeting coordination, particularly with investor meetings, where the assistant will act as a gatekeeper. The role also involves joining the CFO in meetings, organizing and managing deliverables that arise from those meetings, and following through on action items to ensure accountability and progress. In addition to these core responsibilities, the Executive Assistant will be involved in various ad hoc projects and will need to coordinate extensive travel arrangements. The ideal candidate will have 3-5+ years of experience in executive assistant support, preferably with a CFO or in Investor Relations, ideally within a startup context. The ability to work with an ownership mentality and a willingness to help in any way possible is crucial for success in this role. Proficiency in the MS Office Suite, particularly MS Teams and PowerPoint, is essential, along with strong attention to detail and organizational skills. Dependability and effective communication are key attributes for this position, as the Executive Assistant will be a critical support resource for the CFO.

Responsibilities

  • Handle all scheduling and Outlook calendar management for the CFO.
  • Manage the CFO's day-to-day activities and help him stay on track and focused on priorities.

Requirements

  • 3-5+ years of executive assistant support experience, preferably supporting a CFO or in Investor Relations.
  • Experience in a startup environment or comfort with the nature of a startup is preferred.
  • Ownership mentality with a proactive approach to identifying how to help the CFO.
  • Proficient in MS Office Suite and MS Teams; good PowerPoint skills are a plus.
  • Strong attention to detail and organizational skills.
  • Dependable with excellent communication skills.
