About the position

The Executive Assistant to CFO plays a crucial role in ensuring that the senior executives' priorities are met and that organizational goals are achieved through effective planning and organization. This position is responsible for managing the schedules and communications of the CFO and other department leadership, thereby facilitating efficient operations within Chumash Enterprises.

Responsibilities

  • Provides administrative support to the Chief Financial Officer (CFO) and the departments under the CFO's supervision.
  • Schedules and maintains calendar of appointments, meetings, events, training, and travel itineraries for senior leadership and team members.
  • Creates meeting materials, schedules, responses, correspondence, and other forms of communication for the department.
  • Arranges travel and accommodations for executives and team members.
  • Manages and processes invoices for vendors, consultants, and events.
  • Screens and responds to Executive Office inquiries, exercising discretion and independent judgment.
  • Administers and advises on programs, projects, and processes specific to Finance.
  • Acts as administrative liaison regarding administrative issues related to purchasing, personnel, facilities, and operations.
  • Prepares statistical, financial, and administrative reports; assists in meetings and prepares minutes.
  • Conducts research, collects, and analyzes data to prepare reports and documents.
  • May assist in budget preparation and control activities.
  • Maintains confidentiality regarding sensitive information.
  • Receives and screens visitors, demonstrating professionalism and high standards of service.
  • Tracks Team Member reports to Payroll accurately and timely.
  • Submits Personnel Action Forms (PAFs) and other internal eforms as needed.
  • Assists with the maintenance of inventory of office supplies and materials for department operations.
  • Upholds a work environment that promotes teamwork, partnership, recognition, mutual respect, and collaboration.

Requirements

  • High School Diploma or GED Certificate.
  • Bachelor's Degree in Business, Communications or equivalent work experience.
  • Advanced proficiency in MS Word, PowerPoint, Outlook, and Internet; advanced proficiency in Excel/spreadsheets is essential.
  • Five years of progressive administrative work experience.
  • Must obtain and maintain a Gaming License from the Tribal Gaming Agency.
