About the position

The Executive Assistant to the Chair/CAO provides essential analytical support and project management within the Department of Obstetrics and Gynecology. This role involves prioritizing tasks, managing projects, and coordinating events while working closely with the Department Chair, Chief Administrative Officer, HR Manager, and Operations Manager. The incumbent is expected to demonstrate independent judgment and flexibility in responding to various requests and initiatives.

Responsibilities

  • Provide analytical support and project management for the Department Chair and Chief Administrative Officer.
  • Plan, organize, and evaluate situations to prioritize tasks effectively.
  • Independently manage projects, annual reports, and key initiatives such as strategic planning and department events.
  • Coordinate logistics for meetings and events, including scheduling, catering, and AV equipment.
  • Utilize excellent verbal and written communication skills to convey complex issues competently.
  • Review information, draw conclusions, and develop alternatives/solutions using analytical and problem-solving skills.
  • Elicit information needed to clarify inquiries and requests through investigative skills.
  • Manage multiple schedules and calendars, resolving scheduling conflicts as necessary.
  • Demonstrate project management skills to advance both long-term and immediate initiatives.

Requirements

  • Bachelor's degree or equivalent experience.
  • 2-4 years of experience providing high-level analytical executive support.
  • Proficiency in software programs including Word, Excel, PowerPoint, Financial Systems, and Outlook.
  • Experience in planning events and scheduling logistics.
  • Excellent verbal and written communication skills.
  • Strong analytical and problem-solving skills.
  • Demonstrated investigative skills to clarify inquiries and requests.
  • Multi-tasking skills to manage multiple inputs and ensure follow-through on activities.
  • Project management skills to advance initiatives.
  • Ability to maintain multiple schedules and resolve conflicts.
  • Leadership skills or experience.
