About the position

The Executive Assistant to the Chair/CAO provides essential analytical support and project management within the Department of Obstetrics and Gynecology. This role involves prioritizing tasks, managing projects, and supporting key initiatives such as strategic planning and departmental events. The incumbent will work independently to ensure effective communication and coordination among various stakeholders, contributing to the overall efficiency of the department.

Responsibilities

  • Provide analytical support and project management to the Department Chair and Chief Administrative Officer.
  • Utilize independent judgment to prioritize tasks and respond flexibly to requests.
  • Independently manage projects, annual reports, and key initiatives.
  • Plan and organize departmental events and meetings, including logistics such as catering and AV equipment.
  • Maintain multiple schedules and calendars for faculty and staff, resolving scheduling conflicts as needed.
  • Convey complex issues clearly using excellent verbal and written communication skills.
  • Demonstrate analytical and problem-solving skills to evaluate information and develop solutions.
  • Advance initiatives through demonstrated project management skills.

Requirements

  • Bachelor's degree or equivalent experience.
  • 2-4 years of experience providing high-level analytical executive support.
  • Proficiency in software programs including Word, Excel, PowerPoint, Financial Systems, and Outlook.
  • Experience in planning events and scheduling logistics.
  • Excellent verbal and written communication skills.
  • Strong analytical and problem-solving skills.
  • Demonstrated investigative skills to clarify inquiries and requests.
  • Multi-tasking skills to manage multiple inputs and ensure follow-through on activities.
  • Project management skills to advance both long-term and immediate projects.
  • Ability to maintain multiple schedules and resolve conflicts.
  • Leadership skills or experience.
