About the position

The Executive Assistant to the Chair at the University of Michigan provides high-level administrative support to the Chair of the Department of Mechanical Engineering. This role involves managing sensitive matters, coordinating faculty search processes, scheduling meetings, and maintaining confidential files. The position is integral to ensuring the smooth operation of the department and supporting various committees and events.

Responsibilities

  • Provide highly responsible administrative support to the Chair of the Department of Mechanical Engineering.
  • Manage the annual faculty search process and coordinate visits for faculty search candidates.
  • Schedule meetings and manage calendars for the Chair.
  • Maintain confidential files and prepare agendas and minutes for faculty meetings and advisory committees.
  • Initiate written correspondence requiring interpretation of policies and procedures.
  • Serve as staff support to various departmental committees and manage bi-weekly ME Faculty seminars.
  • Assist the Chair in planning and arranging for visitors and process gift forms.
  • Coordinate events and maintain various departmental email groups.
  • Perform other duties as assigned.

Requirements

  • Significant experience in responsible staff and administrative support positions.
  • Demonstrated excellence in communication skills.
  • Ability to communicate and work collaboratively with people at all levels of the organization.
  • Ability to interact effectively in a team setting with a courteous and professional demeanor.
  • Ability to develop and manage conventional and electronic filing and tracking systems.
  • Strong organizational skills with excellent abilities in setting priorities, managing multiple tasks, and meeting deadlines.
  • Ability to take initiative on projects and handle highly sensitive and confidential matters discreetly.
  • Proficiency in Microsoft Office and Google Suite applications.
