About the position

The Executive Assistant to the Chief of Staff at Choice Schools Associates plays a crucial role in providing exemplary executive-level support to the Chief of Staff. This position involves assisting with project management tasks, which include conducting research, managing tasks, organizing projects, setting goals, and ensuring accountability. The Executive Assistant is expected to proactively anticipate and support the needs of the Chief of Staff, ensuring that all tasks are completed efficiently and effectively. In addition to project management, the Executive Assistant is responsible for scheduling meetings as requested, preparing necessary materials such as meeting agendas and minutes, and following up on action items. This role also includes managing travel planning and scheduling, as well as attending meetings when appropriate. The Executive Assistant serves as a gatekeeper and gateway, facilitating smooth communication between the Superintendent team and staff, and demonstrating leadership to maintain credibility and trust within the Leadership Team. The position requires the Executive Assistant to be the primary point of contact for internal and external constituencies regarding matters related to the Superintendent team, including those of a highly confidential or critical nature. The Executive Assistant must prioritize tasks and determine the appropriate course of action, exercising judgment that reflects the supervisory team's style and organizational policy. Close collaboration with the Superintendent team is essential to keep them informed of ongoing commitments and responsibilities, with appropriate follow-up as needed. The Executive Assistant is expected to consistently uphold and promote the organization’s core values, serving as a role model for ethical behavior and cultural alignment. This role is integral to the success of the Chief of Staff and the overall mission of Choice Schools Associates, which is dedicated to empowering and equipping school communities to fulfill their unique missions.

Responsibilities

  • Provides exemplary executive level support to the Chief of Staff.
  • Assists the Chief of Staff with project management, including research, task management, project organization, goal setting, and accountability.
  • Proactively anticipates and supports the needs of the Chief of Staff.
  • Schedules meetings as requested and prepares materials, including meeting agendas, minutes, and follow-up on action items.
  • Manages travel planning/scheduling upon request and attends meetings when appropriate and requested.
  • Serves in the 'gatekeeper' and 'gateway' role, providing a bridge for smooth communication between the Superintendent team and staff.
  • Completes projects by assigning work to appropriate staff, including the Leadership team.
  • Serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Superintendent team.
  • Prioritizes and determines the appropriate course of action, referral, or response, exercising judgment to reflect the supervisory team's style and organizational policy.
  • Works closely with the Superintendent team to keep them well informed of ongoing commitments and responsibilities, following up appropriately.
  • Consistently upholds and promotes the organization's core values, serving as role models for ethical behavior and cultural alignment.

Requirements

  • Bachelor's Degree preferred.
  • Project management certification preferred.
  • Excellent verbal and written skills using proper grammar and vocabulary.
  • Strong interpersonal skills and adept at establishing and maintaining good rapport and working relationships at all organizational levels.
  • Demonstrated appropriate customer service attitudes in a variety of work settings.
  • Extraordinary work ethic as demonstrated in areas including but not limited to attendance, attitude, and quality work the first time.
  • Demonstrated ability to act independently upon information and make decisions that achieve optimal results.
  • Demonstrated knowledge, mastery, and excellence in all MS Office applications (Word, Access, Excel, PowerPoint), Outlook and Google applications, Smartphone technology, Social Media, data warehouse applications, analysis applications, and other applicable new technology.
