About the position

The City of Chickasha is seeking a detail-oriented and dedicated Administrative Assistant to support the City Manager and City Clerk. This role is essential for ensuring efficient operations within the Administration Department, performing a broad range of administrative, secretarial, and clerical duties. The Administrative Assistant will manage correspondence, appointments, records maintenance, and serve as a liaison between the public and city staff, contributing to the smooth functioning of the City Manager's office.

Responsibilities

  • Perform standard and technical secretarial duties involving administrative detail and discretionary decision-making.
  • Provide principal secretarial support to the City Manager and handle routine matters at their discretion.
  • Maintain the department calendar of appointments and activities, making appointments and arranging meetings.
  • Screen City Manager's telephone calls and visitors, and schedule travel arrangements as needed.
  • Perform general clerical duties including typing and filing, and ensure adequate supplies are maintained.
  • Respond to public inquiries and provide information, referring requests to appropriate city departments.
  • Prepare various correspondence, forms, reports, and meeting materials as assigned.
  • Assist in gathering data for special reports and projects, and serve as payroll clerk for the department.
  • Prepare purchasing paperwork and manage the City Manager's mail.
  • Record City Council meetings and maintain departmental files as directed by the City Manager.
  • Handle complaints and maintain records of property and liability claims, and assist in budget preparation activities.

Requirements

  • Five years of highly responsible clerical experience is required.
  • Equivalent to the completion of the twelfth grade supplemented by specialized training in clerical or a closely related field.
  • An Associate's degree is preferred.
  • Proficiency in Microsoft Office applications and modern office procedures.

Nice-to-haves

  • Experience with Windows, WordPerfect, Internet, Adobe Acrobat, and photo editing skills.
