About the position

The Executive Assistant to the City Manager provides high-level administrative support to the City Manager, Mayor, and City Council, performing complex and confidential tasks. This role involves managing schedules, coordinating meetings, and assisting with special projects and research, while maintaining a professional relationship with various stakeholders.

Responsibilities

  • Provides direct and confidential Executive Assistant support to the City Manager, Mayor, City Council, and other administrative staff.
  • Represents the City Manager at appropriate events and leads assigned committees and work groups.
  • Writes and prepares reports, attends meetings, takes minutes, and prepares and distributes agenda packets.
  • Coordinates and plans secretarial and clerical activities in the City Manager's Office.
  • Establishes and maintains the department's records management system.
  • Schedules meetings and appointments, maintains a calendar, and arranges travel for meetings and conferences.
  • Establishes positive working relationships with community organizations and public agencies.
  • Screens communications to the City Manager and City Council, including office visitors and telephone calls.
  • Supervises, trains, and directs other clerical support staff as needed.

Requirements

  • Four years of increasingly responsible secretarial or administrative support work experience, preferably in a local government agency.
  • Equivalent to two years of college-level coursework in business administration, public administration, or a related field.
  • Knowledge of modern office, administrative, and clerical policies and procedures.
  • Skill in operating modern office equipment and proficiency with standard office software such as Word, Excel, Outlook, and PowerPoint.
