About the position

The Executive Assistant to the Chief Marketing Officer (CMO) and Chief Nursing Officer (CNO) plays a crucial role in providing high-level administrative support and ensuring the smooth operation of the office. This position involves a variety of administrative tasks, including conducting research, preparing statistical reports, and handling information requests. The Executive Assistant will perform clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. This role requires advanced staff work and independent judgment, as the incumbent will be responsible for devising and implementing new work methods and interpreting rules and procedures. The work performed is subject to general review through conferences, post audits, personal inspections, and written reports to ensure conformity with established policies and procedures. In addition to typical executive assistant duties, the individual in this role will also be responsible for contract administration. This includes managing contracts and ensuring compliance with relevant regulations and policies. The Executive Assistant will coordinate the calendar and schedule meetings for the CMO, CNO, and Senior Director for Mission Integration & Formation. They will assist in planning and coordinating events, resolve routine problems in the work area, and ensure that the office environment is neat and orderly. The role also involves taking minutes during meetings, participating in education programs and in-service meetings, and supporting the Foundation's Christian mission and philosophy. Other duties may be assigned as needed, including answering phones, routing calls, filing, typing, and distributing mail.

Responsibilities

  • Coordinates calendar and schedules meetings for CMO, CNO and Senior Director for Mission Integration & Formation.
  • Assists with planning and coordinating events.
  • Resolves routine problems in the work area.
  • Assures that the office area is neat and orderly.
  • Arranges and takes minutes of meetings.
  • Participates in education programs and in-service meetings.
  • Supports the Foundation's Christian mission and philosophy.
  • Performs other duties as assigned or requested.
  • Performs administrative support duties including answering phones, routing calls, filing, typing, distributing mail and other related tasks.

Requirements

  • Prefer baccalaureate degree in a related field and five years' experience in an administrative support role.
  • Requires heavy interaction with administration, customers/donors, Board members, department directors, managers, supervisors, and staff employees.
  • Requires extensive knowledge of and experience with personal computers including Word, Excel, PowerPoint, and CLM (legal/contract) management.
  • Ability to perform effectively in a stressful and fast-paced environment.
  • Ability to pass all required health and other screening tests.
