This position requires a highly organized individual who possesses strong initiative and has the ability to complete multiple projects in a deadline driven environment. This individual must have experience supporting Executives or high-level management CPA professionals in the tax or accounting industries. The ideal candidate will be able to communicate effectively, including verbally and written, and understands the need to work in an integrated manner with other members of the department in furtherance of goals, objectives, and knowledge.

Responsibilities

  • Responsible for execution of client ancillary support tasks and projects as directed by Managing Tax Director
  • Scanning, filing, and other basic administration to support staff and managers
  • Executing ad-hoc administrative assignments
  • Maintain professional communication with internal Business Management Team and Tax Team
  • Manage emails and tracking tasks for Tax department
  • Track all projects and due dates, including, but not limited to, tax returns, extensions, estimates, yearend shareholder payroll, notices, and extended returns
  • Notate any completed returns and update due dates
  • Assist with technology set up for internal Tax Direct Report and Daily Tax team meetings
  • Maintain Tax Team calendars
  • Schedule Direct Report meetings as directed for the department, and assist leadership with recording meeting minutes
  • Effectively communicate any updates to appropriate parties and solicit assistance where needed as directed by leadership
  • Assist department with all aspects of e-file management
  • Monitor the delivery of e-file authorization forms and signatures of clients
  • Manage the assembly of electronic and paper tax returns, extensions, estimates, and year-end shareholder payroll
  • Maintain client master tax authority login list
  • Maintain SmartSheet scheduling of tax compliance
  • Communicate with Business Management teams on deliverables to Tax Team
  • Facilitate all client tax authority tax notice and tax return payments

Requirements

  • 10+ years working in an office/client service administration or management
  • Minimum of 7+ years as an Executive Assistant, supporting Executives or high-level Management professionals in tax, public accounting, or business management industries
  • Bachelor's Degree in Communication, Business Management, or relevant area of study with strong academic record
  • Microsoft Office skills including PowerPoint, Word, and Excel
  • Strong project management and organizational skills
  • Superior verbal and written communication skills
