About the position

The Dallas Mavericks is seeking an experienced full-time Executive Assistant to provide high-level administrative support to the Chief Revenue Officer (CRO). The ideal candidate will possess excellent organizational skills, a keen attention to detail, and the ability to multitask effectively in a fast-paced environment. This role is pivotal in ensuring that the executive's priorities are met and that the operations of the company run smoothly and efficiently. In this position, you will be responsible for managing the professional and personal scheduling of the CRO, which includes handling agendas, mail, emails, calls, travel arrangements, client management, and other logistical tasks. You will also coordinate complex scheduling and extensive calendar management, ensuring that the flow of information to the senior executive is well-organized and efficient. Your role will involve liaising with both internal and external executives on various projects and tasks, thereby facilitating effective communication between upper management and employees. Additionally, you will be tasked with planning and orchestrating work to ensure that the senior executive's priorities align with the organizational goals and best practices. This includes maintaining and refining internal processes that support the executive's company-wide initiatives and coordinating resources to expedite workflow. You will also be responsible for organizing team communications and planning events, both internally and offsite, while maintaining professionalism and strict confidentiality with all materials.

Responsibilities

  • Manage professional and personal scheduling for the senior executive, including agendas, mail, emails, calls, travel arrangements, client management, and other company logistics.
  • Coordinate complex scheduling and extensive calendar management, as well as management of context and flow of information to the senior executive.
  • Manage, coordinate, and arrange senior executive travel and travel-related activities, including document preparation, hotel booking, transportation, and meal/reservation coordination.
  • Perform administrative and office support, such as typing, dictation, spreadsheet creation, PowerPoint presentations, and maintenance of filing systems and contact databases.
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interacting with the business.
  • Organize team communications and plan events, both internally and offsite.

Requirements

  • 4 years' experience in an executive administrative role reporting directly to upper management and handling confidential information.
  • Superb written and verbal communication skills.
  • Strong time-management skills and the ability to organize and coordinate multiple projects at once.
  • Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems.
  • Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge.
  • Ability to keep company confidences.
  • Experience overseeing budgets and expenses.
  • Experience developing internal processes and filing systems.
