About the position

We are seeking a dynamic and organized individual to join our team as an Executive Assistant to the Director of Operations at That's Great News. This role will provide essential support in managing the creative design, production processes, and inventory control, ensuring smooth operations and fostering innovation. The Executive Assistant will play a crucial role in facilitating communication between the Director and various internal teams, as well as managing the logistics of day-to-day operations. This position requires a proactive approach to problem-solving and the ability to handle multiple tasks simultaneously while maintaining a high level of professionalism and confidentiality. In this role, you will assist the Director of Operations in day-to-day tasks and strategic initiatives, which includes coordinating and scheduling meetings, appointments, and travel arrangements. You will be responsible for preparing and organizing documents, presentations, and reports, as well as monitoring project timelines and deliverables to ensure that deadlines are met. Additionally, you will manage inventory control processes, including monitoring stock levels and reconciling discrepancies, which is vital for maintaining operational efficiency. Collaboration is key in this position, as you will work closely with internal teams to facilitate communication and workflow efficiency. Conducting research and providing analysis to support decision-making processes will also be part of your responsibilities. Given the nature of the role, maintaining confidentiality and handling sensitive information with discretion is paramount. Some heavy lifting may be required, so physical capability is also a consideration for this position.

Responsibilities

  • Ability to adapt quickly to changing priorities and work well under pressure.

Nice-to-haves
