About the position

The Executive Assistant to the Executive Director/CEO at Caris Pregnancy Counseling and Resources plays a crucial role in providing comprehensive support to the Executive Director/CEO and the Board of Directors. This position involves managing executive office operations, coordinating activities with the Senior Leadership Team, and ensuring effective communication and organization within the organization. The role requires a high level of professionalism, critical thinking, and a commitment to the mission of the organization, which focuses on supporting women and children during unplanned pregnancies.

Responsibilities

  • Provide coordination and clerical support to the Senior Leadership Team, Board of Directors, and Associate Board.
  • Perform tasks associated with meeting communication and setup, including timely communication of information, creating and confirming meetings, and ordering meals for attendees.
  • Serve as the primary point person for donor relationship management, entering donations, producing acknowledgments, and reconciling donations with the accounting department.
  • Prepare reports by collecting and analyzing information as assigned.
  • Support the information management systems coordinator and vendors, ensuring information security and backup.
  • Design and edit graphic presentations and materials.
  • Assist the Senior Leadership Team with special events and fund development tasks.
  • Maintain archives and develop filing and retrieval systems for historical reference.
  • Manage the Executive Director/CEO's schedule, including planning and scheduling conferences and travel.
  • Identify administrative process deficiencies and recommend improvements to the Executive Director/CEO.
  • Provide communication and clerical support to the Executive Director/CEO and perform other assigned duties.

Requirements

  • Bachelor's Degree (BA or BS) in Business Administration, Operations, Marketing, or related field.
  • 7-10 years of administrative experience, with executive assistant experience preferred.
  • Strong ability to execute work with a diversity, equity, and inclusion lens.
  • Expert proficiency with Microsoft Office 365/Teams/SharePoint, Canva, and Adobe.
  • Technical proficiency in donor relations and database management.
  • Strong verbal and written communication skills, including copy editing.
  • Exceptional organizational skills and attention to detail.
  • Ability to coordinate travel arrangements and manage a high volume of tasks.

Nice-to-haves

  • Nonprofit board experience is a plus.
  • Ability to design and edit graphic presentations and materials.
