About the position

The Executive Assistant to the CEO will serve as a vital support to the Founder and executive team of a family office specialist organization. This role is designed for a detail-oriented and proactive individual who thrives in a fast-paced environment and possesses an entrepreneurial spirit. The position involves managing the Founder's calendar, handling administrative tasks, and preparing for meetings, all while maintaining a high level of discretion and professionalism.

Responsibilities

  • Support the Founder with day-to-day matters including managing a dynamic calendar.
  • Handle administrative work for the executive team as needed.
  • Prioritize emails and craft responses on the Founder's behalf.
  • Organize and manage domestic travel arrangements with detailed itineraries.
  • Interact with the executive team and external clients.
  • Prepare the Founder for internal and client meetings, including research and collateral materials.
  • Plan events and dinners.
  • Conduct expense reporting.
  • Assist with ad hoc projects, including exploring and setting up new systems for higher efficiencies.
  • Be available off hours via cell phone within reason.

Requirements

  • A minimum of 5 years of experience as an Executive Assistant supporting a high-level c-suite executive, preferably in a start-up environment or a small law firm.
  • Bachelor's Degree.
  • Very detail-oriented with the ability to change gears quickly.
  • High level of integrity and discretion in handling confidential information.
  • Excellent Microsoft Office Suite skills.
  • Excellent written and verbal communication skills.
  • An entrepreneurial spirit with a warm engaging personality.
